Notification Policy
Effective Date: March 30, 2026
Notification of Added Collaborators
When a contact is added to a Symbium permit application or a Symbium project as a collaborator, Symbium will send an initial notification to the email address provided for that contact. This notification is part of our commitment to user transparency and ensures all parties are informed about their inclusion in the permit application. This initial notification will include:
- Context about Symbium and the permit application which the contact has been added to.
- Contact information for the Symbium project owner and/or the user who added the collaborator as the primary source of contact for additional information regarding the permit application.
Access Grant Notifications
When a collaborator is granted access to a Symbium project, the initial notification (see Notification of Added Collaborators) from Symbium to the collaborator will additionally include:
- Confirmation that access to the Symbium project has been granted.
- Instructions on how to access the project within Symbium.
Access Removal Notifications
When a collaborator's access to a Symbium project is revoked–whether by the project owner or another user with editor permissions–Symbium will send a notification informing the collaborator of this change. This notification is intended to maintain transparency around project access and permissions. This notification will include:
- Confirmation that access to the project has been revoked.
- Contact information for the Symbium project owner as the primary source of contact for questions regarding the change of access.
Third-Party System Notifications
For projects where Symbium facilitates permit submissions to a jurisdiction's Permit Tracking System (PTS), collaborators that are included within the permit application as a contractor, owner, or applicant may receive notifications directly from the City's system. These notifications are generated and governed by the jurisdiction and are outside of Symbium's control.
- Examples of such notifications may include permit status updates, plan review comments, inspection scheduling, or other regulatory communications issued through the City's PTS. Symbium does not duplicate, intercept, or modify these third-party notices.
- Users and collaborators are encouraged to ensure their contact information is accurate and up to date with the issuing authority.
Notification Channels
Email is the communication channel used by Symbium for notifications related to collaborator access and project update. All Symbium-generated notifications will:
- Clearly identify Symbium as the sender.
- Include guidance on how to contact Symbium support if assistance is needed.
In addition to initial notifications for collaborators added to Symbium projects (see Notification of Added Collaborators), Symbium sends project-related notifications–such as permit payment reminders, permit issuance notices, and project revision updates–to all collaborators with some access permissions (view or edit) to the Symbium project.
